🎯The challenge

A high-volume pipeline held together by manual work

Recruitment runs on speed and follow-through. Applications arrive in bursts, candidates expect a fast reply, and every role has its own screening criteria. When that work is done by hand, the team spends its days copying details between tools, re-reading the same CVs, and chasing schedules, instead of placing people.

Stand Up Recruitment needed the repetitive parts of the pipeline to run on their own, without losing the judgment that good hiring depends on. The pressure point was speed: high application volume on every role and a slow, manual time-to-shortlist that risked losing strong candidates to faster competitors. Intake, CV screening, shortlist building, and interview scheduling were all done by hand before the project.

An automated pipeline, intake to interview

A deterministic flow that handles the repetitive work and surfaces only what needs a recruiter's judgment, built on an application intake feed, n8n for orchestration, AI models for CV parsing and scoring, and a connected calendar for scheduling.

Candidate intake

New applications are captured automatically and normalised into one structured record per candidate, so nothing is lost and every role draws from the same clean data. Applications from job boards and the careers inbox are pulled in and written to one structured candidate record.

Screening & shortlisting

Each candidate is checked against the role's criteria and ranked, so recruiters open the day with a shortlist instead of an inbox. The model extracts and scores, the routing logic stays deterministic. Each CV is parsed and ranked against the role's must-have criteria, and recruiters get a ready-made shortlist to review.

Scheduling & handoff

Shortlisted candidates move into scheduling without the back-and-forth, and anything that needs a human decision is handed over with full context. Shortlisted candidates receive a booking link, and the recruiter is notified with the candidate's full context attached.

The automation took the repetitive pipeline work off the team and let them spend their time on placing candidates, not pushing data between tools. In the first weeks live, the pipeline was handling the day-to-day screening load on its own and freeing the team for higher-value work.
