Steps

  1. Right after the call, copy your notes as they are. Typos and half sentences are fine. A call transcript works too. To try it first, use sample-call-notes.txt.
  2. Open a new chat in Claude (claude.ai). Paste the prompt below, then replace "[paste them here]" with your notes. Send it.
  3. Answer the questions at the end, by email to the client if you need to. Replace every [CHECK] with the real answer or delete the line.
  4. Fill in every [PRICE] yourself, from your own rate card and margins. Claude is told not to estimate prices, and it shouldn't.
  5. Move the text into your own proposal template and read it once as the client would before you send it.

Before you paste real client notes, check your company's rules on putting client information into an AI tool.

1. Where they are now, in their words.
2. What we'll do, in phases.
3. What's not included, only if the notes say so.
4. What we need from them.
5. Timeline, only dates they gave.

Rules:
- Use only what's in the notes. Mark any guess [CHECK].
- Leave every price as [PRICE]. Don't estimate.
- Plain words, no sales talk.
Then list the questions the notes don't answer, so I can ask them before sending.
